The Role at a glance:

Elior North America is seeking a highly organized, polished, and proactive Administrative Assistant to support senior leadership within our Dining & Events segment. Based in our Philadelphia office, this full-time role is ideal for an experienced administrative professional who thrives in a fast-paced, hospitality-driven environment and enjoys being a trusted partner to executive leaders.

This position plays a key role in supporting executive operations, coordinating meetings and events, managing administrative processes, and assisting with marketing and operational initiatives. The ideal candidate is detail-oriented, adaptable, collaborative, and comfortable managing multiple priorities with professionalism and discretion.

What you'll be doing:

Executive & Operational Support

· Provide administrative support to senior leaders, including calendar management, meeting coordination, travel arrangements, expense support, and incoming communications

· Prepare and maintain presentations, reports, meeting materials, correspondence, and other business documents with a high level of accuracy and professionalism

· Support special projects, leadership initiatives, and operational priorities by tracking timelines, action items, and deliverables

· Help improve administrative workflows, organization, and documentation processes across the team

· Finance support for catering commissions reporting.

Meetings, Events & Office Coordination

· Coordinate internal meetings, trainings, and leadership sessions, including scheduling, room setup, technology coordination, catering, and logistics

· Support external meetings and events through venue coordination, vendor communication, travel planning, and hospitality support

· Serve as a key point of coordination for the Philadelphia office, helping maintain an organized, professional, and collaborative work environment

· Partner across departments to support team initiatives and day-to-day operational needs

Marketing & Communications Support

· Assist with the organization, updating, and distribution of marketing, operational, and communication materials

· Update pricing documents, presentations, promotional collateral, and templates using Canva, PowerPoint, Excel, and other business tools

· Maintain support of organized digital resource libraries and shared folders to ensure teams have access to accurate, up-to-date materials

· Support brand consistency and formatting standards across internal and external-facing documents, signage, and presentations

· Manage onsite inventory of business development and creative/marketing materials and deployment of material on demand.

What we're looking for:

Must-Haves

· High school diploma or equivalent required

· 2+ years of administrative experience, preferably supporting senior leaders or multiple stakeholders

· Strong proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)

· Exceptional organizational skills with the ability to manage multiple priorities

· Demonstrated ability to handle sensitive and confidential information with discretion

· Strong communication and interpersonal skills

Nice-to-Haves

· Associate’s or Bachelor’s degree

· Experience in hospitality, events, or multi-site operations environments

· Experience supporting executives or leadership teams in a corporate setting

· Exposure to project coordination or process improvement initiatives

· Familiarity with marketing, Canva, and updating templates for communications
