Constellation Culinary Group is seeking a Staffing Manager for our Off Premise Catering Division in Miami, Fl.  We are looking for a hospitality professional with strong administrative skills.  Our ideal candidate has an understanding of catering and hospitality.

  • Staffing • Event Staffing & Scheduling 
  • Transfer CaterX events into Nowsta, ensuring accuracy.
  • Send requests to staff while balancing teams based on the number of events per day and service style.
  • o Staff as far in advance as possible to secure personnel before competitors. • Agency Staffing o Contact agencies (AGR and Ultra) via email to request staff when needed.
  • o Provide as much notice as possible, as agency response times can be slow.
  • o Regularly request updated staff lists from agencies. o Ensure staff count matches the request—Todd from Ultra tends to add 3-5 extra staff, and they are billed accordingly.
  • o Instawork staffing is requested through their platform. • Staff Communication & Management
  • o Communicate frequently with staff regarding event changes (e.g., uniform, parking, special instructions). o
  • Manage call-outs and find replacements as needed. o Respond to staff inquiries about schedules, availability, payroll, and the principal staff program
  • . • Event Monitoring & Support
  • o Stay aware of future events and high-demand dates by monitoring CaterXpert and maintaining communication with the sales team
  • . o Attend events to support the team and handle staff or agency-related issues. o Clock in agency staff at the requested time to avoid extra labor costs.
  • o Instawork staff are clocked in via their mobile app by assigned managers or captains.
  • o Arrange transportation for events that require it. • Event Preparation & Assignments o Maintain contact with the sales team and event managers regarding special event needs
  • . o Attend meetings with the Captain.
  • o Upon receiving the SUP packet, share it with captains.
  • o Create and distribute staff assignments to event managers and captains (including agency staff lists).
  • o Upload staff assignments to Nowsta.
  • • Post-Event Review o Read captain reports and address any issues.
  • o Handle disciplinary actions as needed and escalate to HR when required. Payroll & Financial Responsibilities
  • • Event Staff Payroll o Complete payroll for FOH and BOH event staff. o Properly code labor to the correct unit. o Add gratuity if applicable (submit a tip form to payroll for past-week events).
  • o Allocate travel time and captain meetings as needed.
  • • Cash Gratuity Distribution
  • o Collect and distribute gratuity among all event staff, including culinary and pantry teams.
  • o Complete a tip form for record-keeping before distribution. • Principal Staff Program o Monitor staff completion of 20 events to ensure eligibility for raises. o Use Nowsta reports to track individual employee progress
  • . • Invoices & Sign-In Sheets o Track invoices and ensure agencies submit them on time.
  • o Submit event sign-in sheets promptly to avoid invoice delays.
  • o Cross-reference invoices against sign-in sheets to ensure accurate billing.
  • o Input invoices into CORE. BEO Responsibilities • BEO Meeting Attendance o Attend BEO meetings every Tuesday.
  • . Coordinate with Talent Acquisition to create requisitions
  • . o Conduct interviews and collect new hire documentation.
  • o Complete e-verify and onboarding processes. o Set up new hires in Nowsta and send app invitations.
  • • Orientation Planning o Secure an appropriate venue for orientation.
  • o Coordinate with the sales team to select a date that work
