The Role at a glance:
The Purchasing Manager is responsible for overseeing procurement operations for a USDA-regulated manufacturing warehouse and production facility. This role ensures timely purchasing of raw materials, packaging, ingredients, maintenance supplies, and operational equipment while maintaining compliance with USDA, FDA, HACCP, and company food safety standards. The Purchasing Manager works closely with production, quality assurance, warehouse, logistics, and finance teams to support uninterrupted manufacturing operations and cost control initiatives.
What we're looking for:
Procurement & Vendor Management
- Manage all purchasing activities for raw materials, packaging, ingredients, and warehouse supplies.
- Develop and maintain relationships with approved USDA-compliant vendors and suppliers.
- Negotiate pricing, contracts, delivery schedules, and service agreements.
- Evaluate supplier performance based on quality, cost, delivery, and compliance standards.
Inventory & Supply Chain Management
- Monitor inventory levels to ensure uninterrupted production while minimizing excess stock.
- Coordinate with warehouse and production teams on forecasting and material requirements planning (MRP).
- Maintain optimal stock levels for refrigerated, frozen, and dry storage products.
- Analyze purchasing trends and inventory turnover to improve cost efficiency.
USDA & Regulatory Compliance
- Ensure all purchasing activities comply with USDA, FDA, HACCP, GMP, and food safety regulations.
- Maintain documentation and traceability records required for USDA inspections and audits
- Collaborate with Quality Assurance to approve suppliers and resolve quality concerns.
Operational Coordination
- Work closely with production planning to align purchasing schedules with manufacturing demands.
- Coordinate inbound logistics and delivery schedules with transportation providers.
- Support warehouse operations by ensuring timely replenishment of operational supplies and materials.
Financial & Reporting Responsibilities
- Manage purchasing budgets and monitor spending against targets.
- Prepare purchasing reports, cost analyses, and vendor performance metrics.
- Identify cost-saving opportunities and implement strategic sourcing initiatives.
- Approve purchase orders and ensure accurate recordkeeping in ERP systems.
