The Role at a glance:
Job Summary: Design Cuisine is seeking an Event Producer in the VA, DC, MD area. The Event Producer is responsible for managing events of a variety of sized. S/he is responsible for maintaining positive relationships with established event locations as well as for identifying and building upon location list. S/he must work both independently and as part of team to fully manage account processes including production and client activity. S/he will attend, execute and manage events as needed. S/he will also work closely with the Account Executive in the administration, execution and production process of his events. S/he will work with the DOS and Senior Event Producer to assist in recruiting and training new Event Producers. S/he must promote the Company’s culture, mission and philosophy.
What you'll be doing:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Promote teamwork and quality service through regular communication and coordination with other departments.
• Adhere to company requirements for guest/employee accidents or injuries and in emergency situations.
• Assist in implementing standardized procedures for the front of the house (FOH) for OP staff.
• Assist with maintaining manual summarizing standard operating procedures (SOP).
• Attend, oversee and execute events, as identified.
Sales Management:
• Cultivate collaborative, mutually supportive relationships with and among customers, venues, community, sales, office, culinary and service staff, both on and off premise, across Design Cuisine and Elior Brands.
• Maintain contact and effective communication with all parties throughout the planning process to ensure the highest level of guest satisfaction for all clients.
• Attend/conduct pre-event and post-event meeting with clients, culinary and service staff, in conjunction with Sales Executive, to ensure client satisfaction and identify areas of opportunity.
Account Management:
• Partner with Account Executives by managing calendar and appointments, scheduling logistical, sales and tasting meetings.
• Work independently to respond to and act on client questions and needs including menu selections, logistics, rental equipment and party production.
• Work independently to respond to and act on in- house questions including menu selections, logistics, rental equipment and party production.
• Partner with Account Executive in party production/event logistics, including:
o Preparing folders and sending booking staff sheets
o Finalizing menus and distributing event orders to appropriate departments/ managers.
o Prepare liquor permits and liquor quantity guides
o Prepare rental orders, coordinate delivery, pickup and payment.
o 3rd Party vendor orders, delivery and invoicing
o Prepare all event specific documents to assist other departments in successful event execution, including but not limited to Supervisor Worksheets, floor plans, production timelines.
• Attend tasting(s), walk-throughs, warehouse meetings, as necessary.
• Maintain an accurate event file on all clients reflecting their needs and update with changes.
• Update CaterXpert accurately and timely to ensure other departments can plan and schedule efficiently and correctly, including but not limited to; entering guarantees, updating event timing.
• Produce concise information and directions for on-site event staff.
• Be present onsite at each event to ensure proper event setup and satisfaction of client.
• Supervise set-up and execute on-site event management procedures.
• Oversee all contracted vendors, exhibitors, and manage volunteers on-site during the event.
• Maintain event budgets.
• Maintain contact and effective communication with all parties throughout the planning process to ensure the highest level of guest satisfaction for all clients.
• Perform basic accounting functions as they relate to sales contracts, client billing and collections.
• Assist in collection of final vendor invoices for billing.
• Follow up with clients 48 hours after event conclusion to ensure satisfaction and secure future bookings.
GENERAL:
- Travel, as necessary, to different properties/venues.
- Attend and participate in all scheduled meetings and training sessions.
- Perform and complete all reasonable assignments as requested by management.
- Follow proper time keeping policies and procedures.
- Follow all sign in and out procedures for keys.
- Know and follow all Design Cuisine emergency and safety procedures.
What we're looking for:
Qualifications:
- College degree preferred.
- 2 + years of prior administrative experience.
- 3 + years of experience in event planning, sales or event management.
- Prior hotel/hospitality/catering experience required.
- Excellent computer skills necessary, including EXCEL, MicroSoft Word and MicroSoft Office
- Exceptional interpersonal, organizational, and communication skills.
- Ability to communicate work related information to co-workers, supervisors, vendors and clients.
- Able to work flexible work schedule in order to accommodate business levels.
Compensation Range
$75,000 - $85,000
