As the Payroll Tax Manager, you will be responsible for planning and completion of all payroll related taxes in a multi-brand, multi-state environment. This role will lead a team and will be responsible for working with external auditors on quarterly accounting and tax reviews, preparing new tax registrations, and reconciliation of various general ledger accounts. This position will also ensure compliance with regulatory authorities as well as internal controls. This position will be a part of the core team responsible for the implementation of the SAP HCM project, as well as the implementation of the ADP Tax and Garnishment Services project.
This is a remote position with preference for the individual to be in the Eastern or Central time zone.
Key Accountabilities:
General Responsibilities
- Partners with the Director of Payroll to develop and execute payroll tax strategy
- Develops and controls all tasks necessary to accomplish the Elior North America’s payroll tax objectives, including all payroll tax auditing functions
- Develops short and long-term goals and opportunities for continuous improvement for payroll tax operation success
- Partners with the finance department to meet the Company’s needs regarding payroll payments, cash flow, and payroll related accounts for reconciliation and manages all controls to accurately maintain these procedures
- Leads and coordinates all aspects related to payroll taxes, which includes partnering with the internal tax department and unemployment tax vendor
- Provides leadership and mentoring to the payroll team members. Manages employee performance and development
- Selects and develops top talent for the payroll team and continuously focuses activities on employee engagement.
Accounting Responsibilities
- Manages the reconciliation and accuracy of all payroll-related accounts
- Determine the need for new accounts and revisions in the account structure
- Creates new unit set up, including the research on taxation for location
- Approves payroll journal entries by established accounting deadlines
Payroll Tax Responsibilities
- Manages tax payments/deposits and filings meeting state, local, and federal deadlines (weekly, monthly, quarterly, annually)
- Research state-specific tax requirements and advise staff concerning the accounting treatment of complex transactions
- Research taxability by jurisdiction and client
- Maintains knowledge regarding payroll practices and regulations related to system technology and relevant Federal, State, and Local government regulations; regularly communicates regulation changes to applicable Company representatives
- Researches and makes manual adjustment to taxes and wages to employee’s records
- Authorizes/signs correspondence related to tax issues
- Manages the registry of new locations with state and local licensing requirements
- Works with clients and outside taxing authorities to resolve tax issues
- Represents the payroll team and serves as a payroll tax expert in all acquisition or divesture activity related to payroll
- Advise on and provide resolution of payroll tax issues while performing and using industry wide best practices
- Ensure accuracy of tax filings on quarterly, monthly, semi-monthly, annual etc. filing schedules
- Plan, maintain, execute successful year-end processing for all tax and proactively schedule follow-ups
Other Duties and Responsibilities
- Identify and recommend opportunities for improvement and partner with the appropriate parties to test and implement new improvements
- Develops and maintains all payroll tax policies and procedures for the Company
- Work with various departments on completion of audits, tax credits, costing etc. that arise from payroll taxation
- Manage the third-party payment processes for garnishments
Minimum Qualifications Required:
- 5+ years Payroll Tax experience
- Minimum of 5 years of experience managing multi-state payroll environment
- Bachelor’s degree in Accounting, Finance or related field or equivalent experience
- Experience with SAP SuccessFactors preferred - ideally EC Payroll
- Strong technical skills; specifically, Excel
- Experience with ADP Smart Compliance
- Ability to successfully mentor and manage people; a player-coach that is dedicated to the success of the payroll tax team
- Detail oriented with expertise in written and verbal communication
- Travel up to 10%
Preferred Qualifications:
- Experience with Kronos
- CPP or other relevant certification
- Experience working with large, collectively bargained employee population and managing multiple structures of rules and practices
